The Administrative Coordinator is responsible for various building functions, providing assistance to the human resources and accreditation departments, and other administrative support.
Primary duties and responsibilities:
Greets and directs all visitors to headquarters, announcing visitors as needed.
Answers and properly directs or routes all calls into headquarters, providing basic and accurate information regarding the association and its services and offerings as needed.
Manages and organizes all parking validation, as well as arranges transportation accommodations for VIP visitors.
Orders all desk and file cabinet supplies, as well as all kitchen supplies, keeping inventory of stock.
Keeps abreast of staff movement in or out of the office, staff calendars, and association events.
Ensures reception area is neat and tidy, and that conference rooms remain stocked, neat, and tidy.
Organizes and facilitates all benefit mailings as well as reconciles benefit bills and processes benefit request forms.
Assists with processing bills for building needs.
Compiles survey results and assists with input and analysis of surveys and results.
Maintains and updates the resource library on the association intranet as well as maintains various staff lists on the same.
Coordinates content and drafts for presentations made by the President.
Receives and processes all courier requests.
Schedules and updates the interdepartmental luncheons.
Orders flowers and other gifts as requested for staff or members.
Assists in coordinating staff events by doing such things as research, scheduling, set up, and drafting of promotional material.
Assists with accreditations by processing applications, data entry, providing test result notifications, and other assistance as needed.
Performs any administrative and clerical work as required such as drafting correspondence and scanning documents.
Performs other related duties and assignments as required.
Education, prior work experience, and specialized skills and knowledge:
Extensive experience as an administrative assistant
Experience in a non-profit or association setting preferred
MS Office skills
Strong organizational and customer service skills
Willingness to learn new skills is preferred
Must be reliable and have an excellent attendance record
