This position is responsible for exhibits management for two of IACP’s primary meetings and conventions including the Annual Conference and Exposition as well as the Technology Conference. The incumbent of this position will create, manage and cultivate relationships with association exhibitors and sponsors. The Exhibits Manager must be operationally focused, possess strong organizational skills, outgoing, friendly, persuasive, and a self-starter. Additionally, the candidate must be able to enforce IACP’s exhibit policies and easily diffuse issues between exhibitors on the exhibit floor. This position requires strong managerial skills to manage employees and multiple projects at one time.
Floorplan Management: responsible for using exposition management software to create and manage an exhibit floor layout; allocate show management and traffic draw areas while maximizing quality space for exhibiting companies
Plan and execute public spaces for maximum networking opportunities for attendees, association branding and saleable opportunities
Responsible for Exhibitor Outreach to include establishing an Exhibitor Advisory Group; creating surveys for exhibiting companies to collect quality feedback; creating and implementing new ways of increasing exhibitor and sponsor ROI through creating new opportunities and enhancing existing opportunities; developing exhibitor training programs; and planning and organizing traffic builder for the hall
Compile and publish the exhibitor service kits will all relevant show information
Manage the collection of vital internal information to include vehicle move-in forms, weapons registration, EAC’s and insurance certificates
Work with larger exhibitors to review and approve island booth designs to minimize on-site set-up issues
Coordinate with Conference Program Manager on exhibition items for the printed program. Review and test mobile application for accuracy in exhibitor profile listing
Review current show rules and regulations and continually update in accordance with industry standards
Manage all aspects of exhibitor pre-registration
Collaborate with IACP Sponsorship Manager to ensure proper sponsor fulfillment
Oversee the sale of exhibits space to include: processing exhibitor contracts and space confirmations; collection of booth payments; maintaining exhibitor database; tracking sales and providing periodic reports; maintaining exhibitor waitlist; and overseeing the on-site booth selection process and exhibitor appointment times
Develop, implement and evaluate marketing strategies for industry participation. Serve as liaison with third-party designer and internal marketing team to create an exhibitor prospectus, exhibition hall map and other marketing materials as needed
Produce monthly exhibitor e-newsletters as well as build and maintain the exhibitor portion of the conference website
In conjunction with the show decorator, oversee the onsite move-in/move-out of the exhibition hall to include special exhibits such as helicopters, vehicles, firearms, etc. Oversee freight, drayage, signage, rigging and utilities
Manage the design, equipment & utility needs, and logistics for all show management areas in the exhibition hall and public areas
Coordinate proper protocol with the Host Police Department and contract security for firearms and other weapon display and storage
Manage contract security for exposition hall, registration, store and general assemblies
Bachelor degree required. Minimum of five (5) years of experience as a professional meeting planner or housing coordinator.
Several years of progressively increased exhibit management experience
Experience in exposition hall operations and contract negotiations
Demonstrated ability to work as part of a team
Strong organizational and goal setting skills with attention to detail
Budget management experience
Ability to effectively interact with all levels of the profession
Demonstrated proficiency with Microsoft Office Suite. Ability to learn IACP specific software programs
15- 20% travel will be required
