In support of our expanding association, American Dental Hygienists’ Association (ADHA) is accepting resumes for an Administrative Assistant opportunity. This role will report to the CEO and also support the Director of Education & Professional Advocacy and Governance Manager. The assistant will take ownership of calendar and travel coordination, be a key player in presentation development and responsible for communications on behalf of this executive team. Successful candidates will be proactive, quick learners with a strong attention to detail and the ability to manage multiple priorities from multiple supervisors.

Support the Executive Office and Education & Professional Advocacy with special projects and administrative work.
Compose, type, and distribute professional correspondence, memos, minutes, reports and emails.
Develop and organize PowerPoint presentations and visuals.
Assist with volunteer management and the activities of assigned committees (i.e. Leadership Development Committee, HOD, Council on Policy & Bylaws), including minutes, development of annual reports and action item follow up.
Provide outstanding customer service and support of the Executive Office and Education & Professional Advocacy divisions. Specifically, handle calls/request from members, nonmembers, constituent/component officers and staff.
Support assigned awards. Ensure reviewers receive all materials in a timely manner, calls are set up and help process the awards.
Assist as back up for reception and all administrative related duties.
Assist with Board of Trustees, HOD and related committee meetings, events and related communications.
Coordinate all administrative aspects of CEO and division director’s travel, including but not limited to registrations, confirmations, scheduling, and preparation of materials.
Oversee calendars, appointments and meetings (internal, external, virtual, in person, etc), including but not limited to, preparing and distributing agendas, setting up virtual meetings and other meeting materials.
Support assigned Annual Conference division-related functions.
One to three years’ experience in a service-oriented organization supporting a Management or Director level role. Association or nonprofit experience preferred.
Bachelor’s degree or equivalent
Exceptional customer service, organizational and technology skills.
Candidate must be proficient in Microsoft Office applications coupled with excellent verbal, written and communication skills and keen attention to detail are a must.
Candidate must be detail oriented, proactive and have the ability to manage multiple priorities from different supervisors.
Previous experience with data entry and working with an Association Management System (AMS) is a plus.
Ability to travel to ADHA’s yearly conference.
