AMGA, (formerly the American Medical Group Association) a national trade association, is seeking an Administrative Assistant to support both the Chief Medical Officer (CMO) (who is also the President of the AMGA Foundation), and the Chief Operating Officer (COO). This individual will support these two senior staff members providing administrative support in their daily functions. Salary is commensurate with background; garage parking is free; benefits are excellent; headquarters is located in Old Town Alexandria. Position available in May. Duties and Responsibilities
Manage calendar and coordination of meetings including internal and external meetings, conference calls, etc.
Take meeting minutes during meetings as needed
Coordinate with other AMGA departments for requests of either role
Manage email account and phone/voicemail
Book travel (hotel accommodations, flights, ground transportation) in coordination with Meetings Department
Coordinate high-level business dinners with members and/or sponsors during conferences and events
Develop presentations/slides for webinars and meetings
Prepare briefings and other materials for external events and conferences (e.g., talking points, summaries)
Onsite support/handler at meetings and conferences as needed
Manage expenses and reimbursement
Create and submit bimonthly timesheets
Provide IT assistance (e.g., IMIS, social media accounts, Zoom, WebEx)
Assist in AMGA Foundation Board activities
Manage participation in all thought leadership activities
Provide content for social media platforms
Proofread and edit publications and thought leadership materials
Help to compile quarterly CEO Report
Assist with committees and task force activities: Quality Task Force, Strategic Planning Committee, Comprehensive Campaign Committee and others as assigned
Other duties as assigned
3-5 years experience in a similar position
Ability to take on multiple tasks and prioritize accordingly in a fast-paced environment
Collaborative team skills to work with other departments
Excellent communication and interpersonal skills
Ability to “think quickly on one’s feet”
Adaptability to change
Strong sense of confidentiality
Experience with trade associations or nonprofits a plus
Attention to detail
Education and Training Required
Bachelor’s degree preferred
Excellent MS Office skills (Word, Excel, PowerPoint) and Outlook and other software as necessary
Knowledge of or ability to learn and master IMIS database
