Each year the International Association of Chiefs of Police (IACP) holds multiple meetings and events including an Annual Conference and Exposition with over 15,000 attendees. The Conference Manager I will be responsible for program development, speaker management, attendee acquisitions, and operational support for the Annual Conference and Exposition. Additional duties will include operational involvement, site selection, hotel contracting, and room block monitoring for small/mid-size meetings. This position will supervise one employee and manages contracts and contract employees.
Program Development and Speaker/Presenter Management
Develop, manage, and implement concurrent sessions for Annual Conference and Exposition, totaling 200+ educational sessions.
Oversee speaker management, preparation, and presentation development for the Annual Conference and Exposition workshops; 500+ speakers.
Track educational program performance measures and vital statistics to form a complete program history for use in reporting, operational decision making, identification of trends, and for future planning.
Maintain communications with the liaisons to meetings and the educational program leaders to meet all planning, publicity, and logistical needs.
Manage the online proposal submission and workshop review processes.
Develop speaker resources for the Annual Conference and Exposition.
Manage the workshop certificate process.
Liaise and collaborate with internal staff, external marketing firm and vendors; provide specific Annual Conference and Exposition related information to produce marketing materials including print, digital, e-mail, and social media campaign.
Develop and manage the production of the printed conference program.
Build, in conjunction with IACP vendors, the mobile app for the Annual Conference and Exposition.
Maintain the attendee portion of the conference website.
Operational and Logistical
Manage the logistics of room space assignments for conference functions, meetings, and educational program.
Liaise and collaborate with external audio visual vendor to provide products and support for Annual Conference and Exposition.
Assist in the planning of annual banquet to include seating, ticket sales, entertainment.
Prepare work orders including room sets, audio-visual equipment, and utilities in order to contribute to the development of the resume book for the Annual Conference and Exposition.
Collaborate with Exhibits Manger on the design and logistics for show management areas in the convention center.
Management and mentoring of a Small Meetings Manager (Project Coordinator II).
Oversee site selection, contracting, room block monitoring, and logistics support for small and midsize meetings.
Other duties as assigned.
Bachelor’s degree required. Minimum of five (5) years of experience as a professional meeting planner.
Several years of progressive responsibility and experience in meeting planning.
Experience with conference event planning, operations, program development, speaker management, marketing, mobile app, housing, contract negotiations, and budget preparation.
Demonstrated ability to work as part of a team, multi-task, prioritize, and be adaptable.
Progressive supervisory and management experience preferred.
Excellent organizational and goal setting skills and attention to detail.
Demonstrated proficiency with computer applications such as Microsoft Windows, Word, Access, and Excel. Ability to learn IACP specific software programs to include database management.
Ability to produce well-organized and quality reports both written and verbal.
Excellent interpersonal, oral, and written communication skills combined with the ability to effectively interact with all levels of the profession as well as internal and external constituents.
Familiarity with meeting industry vendors, national hotel brands, 1st and 2nd tier cities.
Ability to maintain and improve the IACP and conference brand. Consistently represent IACP brand throughout all designated conferences.
Communicate and collaborate with IACP staff and IACP approved vendors to understand goals and objectives of various projects and meetings.
Write, develop, and process Request for Proposals for various contracts and events in conjunction with meetings and conferences.
Occasional travel may be required (Up to 20% yearly)
