The International Association for the Study of Pain (IASP) is hiring a Conference Registration and Membership Specialist for a busy Education and Events department. The ideal candidate is energetic, has a history of providing excellent customer service, is organized and is capable of managing multiple tasks concurrently. This position requires a hands-on individual who enjoys working in a fast-paced and challenging environment.
Assist and contribute to the overall planning of event registration during the pre, onsite and post show phases for multiple events simultaneously. (e.g. attendee customer service, coordinate registration website development, supplier coordination, clerical support and post event debrief evaluations)
Attend meetings with client teams to gather and document event requirements and strategize potential solutions to challenges faced with their registration processes
Pay close attention to detail, demonstrating accuracy and efficiency in financial reconciliation (process invoices, collect past due payments, reconcile monthly with accounting)
Prepare statistical reports
Ensure accurate and timely entering of records and information into database system for registration and/or exhibitor database
Allocate time according to budget provided by project; checking that work has been carried out to specification and deadlines
Facilitate continuous communication between exhibitors/sponsors, attendees, and suppliers to meet the ongoing, ever-changing needs of the organization
Additionally, IASP currently uses iMIS and RiSE:
Create and manage events within iMIS, including event agendas in RiSE and online registration options through the iMIS event module
Assist members and IASP events staff with event registrations and payments, including cancellations, transfers, refunds, complimentary registrations and special pricing.
Assist appropriate staff with updating and maintaining information in RiSE for Special Interest Groups (SIGs) and partner organizations.
Ensure the integrity of member data by keeping iMIS updated on an ongoing basis, making changes forwarded by IASP staff for both individual and company records.
Maintain database integrity by setting and enforcing standards and controls.
Write and edit IQAs as needed to extract data from iMIS for the use of other IASP staff and leadership, including education/events, marketing and communications, membership finance.
Perform regular database maintenance tasks, including the creation of duplicate records by members and correcting any data entry errors made by staff.
Manage iMIS improvement projects with outside iMIS reseller on an as-needed basis
There will be opportunities for international travel with this position.
1-3 years of professional experience doing event registration or related role
Familiar with Microsoft Office suite, iMIS and RiSE
Capability to prioritize work according to changing office needs.
Ability to oversee ongoing processes and multiple projects independently.
Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written) in a team environment.
Attentiveness and time sensitivity to IASP member and customer requests for assistance.
Careful attention to detail.
Ability to define problems and draw valid conclusions.
Ability to interpret instructions, gain knowledge and show initiative.
