This is a newly-created position within a fast-paced department with a global reach that touches various parts of the department’s major programs. This position will be involved in broad interaction with member and corporate audiences at the highest levels, frequent collaborative communications with various internal departments, and supports functions for the operation of specific MDRT programs and committees. Reports to the Programs Support Manager within the Global Markets Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES
A. Serves as the primary administrative coordinator for the global Membership Communications Committees.
B. Manages the Special Guest/VIP invitation process for MDRT’s meetings and coordinates services on-site during the meetings for the VIPs
C. Researches and assembles information to create resource materials for members' and staff travel
D. Enters data and generates reports from the travel database
E. Prepares and distributes membership reports as needed
F. Maintains/tracks the inventory of marketing materials for the department
G. Responds to general inquiries from various audiences (members, staff, vendors, etc.).
H. Other projects as assigned
MCC Related Responsibilities:
Maintain MCC mailbox
Creation of invitation letters
Update liaisons on status of invitations on a regular basis (at least bi-monthly) MCC evaluations
Press Releases o Work with MarCom on press releases for MCC
Enter travel reports submitted by staff into access db
Creation of approved traveler list to Gant for ambassador travel planning
Maintain and distribute ambassador calendar
Inventory tracking (tablecloths, banners, give a ways, notepads)
Annual meeting o Coordinate the packing of materials to be shipped.
Intermediate to Advanced Microsoft Office
Ability to travel domestic and international as needed.
