Administrative, Clerical, Support, Membership, Project Management/Program Development
We are looking for a Program Coordinator to work across the Society to help achieve the mission of SFPE. The coordinator will support member services, professional development, and interact with members regularly. The coordinator will also provide administrative support to the organization, including scheduling meetings, taking meeting minutes, answering calls and emails, and mailings.
We are looking for an individual who is efficient and comfortable being a member of a small, dynamic team. The successful candidate is resourceful, a good problem solver, and highly organized. Assuring a steady completion of the workload in a timely manner is key to the success of this position.
Member Services (50%) - responsible for supporting member recruitment and retention, member onboarding, and the membership database. Other duties include tracking membership statistics, responding to member requests, and light website maintenance.
Use Your Membership (YM) software to maintain the membership database. Update member records with new information received from or about members. Maintain the overall integrity of the membership database (completeness and accuracy of information).
Conduct monthly member invoicing and follow up with those who are past due.
Enter credit card and checks into the member database.
Create and manage a member onboarding program, including new welcome materials.
Create and run reports from the member database to track membership performance as needed.
Respond to member inquiries and requests for assistance and track communication between the Society and the member. Provide personable and professional customer service to members and prospective members.
Help develop and send member communications such as email announcements, and newsletter and website updates.
Professional Development (25%) – assist in developing world-leading conferences and educational programs. This includes:
Support program committees for conferences and symposia.
Manage speakers and their presentations for conferences and symposia.
Maintain web pages and mobile apps as needed.
Support seminars with instructor and participant materials.
Issue certificates for educational programs (CEUs/PDHs) to attendees.
Serve as a resource for SFPE members, ensuring timely response to phone calls and email requests.
Responsible for answering phones and greeting guests.
Plan meetings and take detailed meeting minutes.
Develop and maintain filing system.
Assist in maintaining new and updated content on SFPE’s website and other social media platforms.
Attend and assist in webinars and meetings
Manage incoming and outgoing mail, FedEx and other packages.
Process publication orders and conduct annual inventory.
Change server cartridge daily.
Coordinate birthdays, staff celebrations, holiday parties, etc.
Support the overall goals and objectives of the team and society.
Associate’s degree, bachelor’s degree preferred.
Excellent organizational and prioritization skills; able to handle multiple tasks, projects, and priorities effectively and professionally.
Ability to work well in a small, high-energy organization; a team player willing to take on new challenges with the demonstrated ability to partner with staff and member volunteers.
Strong verbal and written communication skills, including excellent telephone manner.
Creative, flexible and self-motivated.
Proficiency in MS Office Suite and Your Membership (YM) and willingness to keep up with evolving technologies and learn new platforms as required.
Other duties as assigned.
Up to 5% travel.
