This position requires a high level of professionalism, commitment, as well as discretion honoring confidentiality. Additionally, this role requires the ability to administer a high level of organization and problem solving in a fast-paced environment while maintaining close attention to detail. This person must be exceedingly well organized, resourceful, flexible, responsive, and enjoy the administrative challenges of supporting a small office.
The Administrative Coordinator directly supports and assists the COGA management team by planning/scheduling meetings and appointments, managing projects, making travel arrangements, and other duties as assigned. This position also assumes general office management responsibilities including answering the phone, ordering supplies, serving as a vendor liaison, and others. In addition, with the Programs & Events Coordinator, the Administrative Coordinator will support the preparation and implementation of over 50 COGA programs and events each year. The ideal candidate will be experienced in handling a wide range of administrative tasks and be willing to step in wherever needed.
Duties include but are not limited to:
General administrative support to the association including, but not limited to:
Receiving guests and visitors at reception desk
Screening and routing incoming calls and correspondence
Updating project plans and reports
Conference Room and all office common areas
Retrieving and directing all incoming mail
Coding invoices, monthly expense reports, and incoming payments
Keeping track of and ordering office supplies as needed
Maintaining petty cash
Direct regular administrative support to the CEO, and support of other management team members. This includes coordinating travel arrangements, maintaining calendars, coordinating executive communications, taking calls, responding to emails and interfacing with high-level executive clients
Providing administrative and on-site support for all association events and programs including:
Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre- and post-event evaluations
Managing database and tracking registrations for all events and programs
Updating presentations & graphics for events and programs
Serve as liaison as needed to external service providers, including information technology, accounting, and building-related matters
Supporting administrative functions of COGA Board, maintaining board documents, calendar, distributing materials and correspondence
Calendar/scheduling management for executive leadership including management meetings
Committee and Stakeholder meeting planning and organization, including preparing agendas, distributing advance materials and supporting all aspects of successful meeting implementation
Assistance with multiple duties for COGA’s annual conference, The Energy Summit
