The position is accountable for designing, developing, and executing assigned DIA Meetings in the Americas region for DIA members and customers in the pharmaceutical, biotechnology, and devices industries; government agencies, service provider organizations, and academia. This position ensures that assigned DIA Meetings perform at or better than budget. This position may assist with other Specialty Meetings and the Global Annual Meeting when needed.

Primary Responsibilities:

• Develop and manage project plans related to a DIA project/product to ensure their successful delivery.
• Work with the Associate Director, Meeting Operations to develop an accurate budget and ensure each meeting meets or exceeds budgeted performance; promptly resolve or escalate variances or issues.
• Meeting Management:
• Determine dates and locations of each meeting
• Source and review executed venue contracts and manage event planning
• Conduct pre-conference meetings to finalize logistical details and troubleshoot issues
• Monitor and document program expenditures around logistics
• Manage venue staff and services
• Manage all event logistics both pre-meeting and onsite, such as participant materials, badge printing, audio-visual support, and food and beverage functions
• Lead meeting debrief and post meeting close out activities
• Program Management:
• Oversee Call for Abstracts and poster submission process
• Work with Program Committee and Associate Director, Scientific Programs to develop content for all educational products
• Coordinate with marketing for promotional content
• Lead interactions with Subject Matter Experts (e.g., volunteers, instructors/speakers, track chairs, program committee), along with Associate Director of Scientific Programs
• Manage speaker participation including extending invitations, collecting disclosure information, biographies, and photos, and oversee speaker reimbursements
• Develop meeting master document to generate web copy, final program, and assorted marketing content
• Support the Annual Meeting as needed (attendance at June Annual Meeting is required of all Project Managers), including assisting in the management of session development, Program Committee oversight and onsite operations.
