The Connecticut State Dental Association seeks a highly motivated, creative, and detail oriented individual to plan and execute the association's continuing education programming and highly regarded annual meeting.
The Director of Meetings and Continuing Education coordinates, implements and manages all aspects of the CSDA Annual Meeting and ongoing continuing education programs (both in-person and online). Monitors and maintains continuing dental education recognition standards regulated by ADA CERP and the State of CT. Develops and evaluates budgets for annual meeting and continuing education events throughout the year. Serves as the primary staff liaison to the Annual Scientific Session and Continuing Education Councils. Manages Council meetings and works in concert with volunteers to develop and execute action plans/initiatives.
Job Duties and Responsibilities:
Direct the day-to-day and ongoing operations of the department. Directly supervise Meetings Coordinator and oversee all administrative tasks.
Develop, implement and control the operating budgets for all Continuing Education and Annual Meeting initiatives. Establish and maintain relationships with various vendors, service providers and meeting facilities. Negotiate pricing and new contracts as needed.
Oversee all marketing and promotional efforts and ensure that all avenues of communication are being maximized.
Guide the development, execution and evaluation of all aspects of continuing education programs and the Annual Meeting including but not limited to: overall meeting format, course offerings, social events, exhibits, speakers, VIP guests, volunteer assignments, attendee feedback/surveys, etc. Oversee all pre, on-site, and post-meeting logistics.
Initiate all Speaker contracts and oversee all logistical details leading up to each CE program and the Annual Meeting. Assist with travel arrangements when necessary.
Research/pursue new distance education opportunities and other technological tools to enhance events.
Develop/sell sponsorship opportunities, Program Guide ad space, exhibit space, etc. and maintain relationships with all primary contacts to encourage ongoing/future participation.
Work with venues to determine and finalize spatial, food/beverage, audio/visual needs, and any special arrangements.
Guide the development of Annual Meeting online registration and direct the implementation of all policies and procedures related to registration.
Maintain all ADA CERP Provider standards. Complete certification application renewal process as-needed.
Stay current on all licensed dentist mandates as set forth by the State of Connecticut’s Department of Public Health.
Guide the development of the CSDA calendar as it pertains to future CE programs, the Annual Meeting and ongoing Council and committee meetings.
Plan and oversee all Annual Meeting and Continuing Education Council meetings as well as any sub-committee meetings.
Maintain ongoing communications with/provide support to Council volunteers and follow through on all directives and new initiatives as established.
Serve as a resource to members and all outside organizations interested in getting involved in CE and Annual Meeting related activities (i.e. potential sponsors, exhibitors, advertisers, etc.).
Maintain historical records and provide current reports as requested. Ensure all internal policies and procedures are being adhered to.
Bachelor’s degree with at least 5 years meeting planning experience for membership based organization, including exhibits management.
Experience in coordinating all logistics for large meetings and events.
Demonstrated success in sales, negotiations and marketing and promotion.
Demonstrated ability in volunteer coordination and committee staffing and oversight.
Previous budget development and oversight experience.
Skills and abilities:
Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
Highly organized and detail-oriented.
Able to complete multiple tasks and meet deadlines.
Excellent written and verbal communication skills.
Ability to effectively communicate with individuals at all levels.
Strong problem solving skills.
Self disciplined and self motivated. Able to work independently
Must be willing and able to occasionally work nights and weekends.
