The Conference and Event Services Director is responsible for the day-to-day operations and year round logistical coordination of conference and external events. The individual is responsible for directing external marketing and rental of facilities and coordinating scheduling and logistics for both external and internal conference and events.
DUTIES & RESPONSIBILITIES:
Develop the vision, long-term strategy and annual roadmap for the portfolio of solutions events taking place at EarthX:
Lead event design for all proposed conferences, events and networking activities operated by EarthX personnel
Make recommendations on the type and number of programs as well as prospective partner organizations and revenue strategies
Oversee the planning and strategic execution of events within the portfolio
Monitor week-to-week program development and production activities and conduct recurring team meetings to facilitate reporting and integration of activities
Develops and implements a comprehensive conference/ events marketing plan to attract external clientele.
Develops the conference/event business through relationships as well as marketing
Participates in marketing and sales activities
Coordinates all aspects of events and serves as main point of contact for clients
Communicates and resolves problems effectively and in a timely manner with event organizers
Fosters and maintains contacts with a wide array of vendors to ensure consistent delivery of needed goods and services for conference and event programs
Generates contracts and insurance requirements, monitors compliance with policies for conferences and events
Process space requests (paper + electronic) made by internal clients in coordination with the scheduling coordinator
Obtains detailed information from client on event type and event requirements to ensure success of event
Works closely with the Facilities staff to ensure appearance and cleanliness of the space is appropriate to the client
Ensures that all events comply with all government regulations
Administer process to identify and secure third-party organizations authorized and/or contracted to produce activities under the EarthX Solutions brand and portfolio
Provide the CEO and Board of Directors with recommendations on future vision and implementation of the EarthX Solutions activities portfolio
Performs other duties as assigned

REQUIREMENTS & QUALIFICATIONS:
Bachelor’s degree required (CMP/CMM designation a plus)
PMP Certification is a plus
At least 2 years of related experience in marketing, sales or event management OR significant management or sales experience in conference and event management or hotel and resort management.
At least 7 years of conference planning experience as well as overall knowledge/experience of all aspects of conference planning including registration
Marketing, sales or event management, exhibit sales, logistics, program development, catering, and audio-visual innovations, are essential
At least 5 years of experience in the environmental sustainability sector with a demonstrable track record of designing, convening and administering high-profile conferences
Proficiency in Microsoft Office.
Proven customer service interpersonal/human relations skills
Verbal and written communication skills
Ability to organize time, projects, and details
