Atla seeks a Communications Assistant that is primarily responsible for performing communication and administrative duties for the Association. This position will support the Marketing and Communications Manager in writing, editing, and production of print and electronic publications, properties, presence, and materials. Ultimately, this position will be to help ensure communication of Atla’s message across all channels. This position also provides timely, professional, and accurate service to the entirety of the Atla community.
This position is located at the Atla offices in Chicago, Illinois.
ESSENTIAL DUTIES AND RESPONSIBILITIES: Core duties and responsibilities include the following. Other duties may be assigned.
Contributes to and edits content for Atla properties and publications including the newsletter, website, and social media.
Proofs copy for digital and print pieces within the Adobe Suite, including Adobe Acrobat and InDesign and InCopy.
Writes and proofs for email campaigns and press releases according to marketing schedule.
Follows and maintains Atla Style Guide.
Assists in maintaining web content and executing social media strategies.
Works closely with the Member Programs team, other internal staff, and consultants to enhance and improve member and prospect interactions both in-person and online such as through the website, online portal, online community site, and communication vehicles (email, newsletter, social media).
Coordinates, develops processes, and supports communication and execution of professional development opportunities including webinars, workshops, and presentations online and/or in-person; collaborative projects; and other membership related campaigns.
Responds to email and phone inquiries and provides information about Atla on a timely basis anticipating and pre-empting follow-ups (as appropriate) and reducing the need for multiple interactions and making ease of customer number one priority.
Supports work of committees, working groups, task forces, and other groups through the preparation of contact lists, distribution of communications, support for meetings, and coordination of centralized record retention.
Update databases and media lists.
Makes travel arrangements, handles room and refreshment logistics, and prepares meeting materials for meetings of the association committees, working groups, task forces, and other groups.
Inputs and deploys membership and other surveys using internet survey tool.
Serves as back-up for administrative office functions and is cross-trained, including processing mail, logging checks, notifying building management of issues, and shipping.
Performs other duties as assigned by the Marketing and Communications Manager.
REQUIRED EXPERIENCE: Bachelor's degree (BA) from four-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience in Communications, English, Visual Communications, or a related field.
OTHER SKILLS AND ABILITIES: Required:
Strong writing, proofreading, and organization/project management skills.
Experience in implementing communications, public relations, or marketing plans.
Basic understanding of standard print and digital publishing practices and procedures.
Ability to multitask and work well under pressure.
Excellent interpersonal skills and ability to work well with members, Board, publishers, etc.
Excellent oral and written communication skills along with an approachable demeanor.
High energy work ethic.
Strong attention to detail.
Demonstrated ability to work in a collaborative environment.
Experience in Chicago Manual of Style.
Experience working with libraries, cultural heritage organizations, or affiliated educational, nonprofit, or professional organizations.
Evidence of potential to succeed in a rapidly changing environment.
Experience in Google AdWords, SEO.
Must have a valid driver’s license (or legal ability to acquire one).
Must be willing and able to travel through North America via plane, train, automobile, and other means.
Must be able to lift up to 50 pounds.
