Independently coordinate with, and manage & lead, other BIO Staff to effectively support BIO Board and Committee meetings at the direction of BIO’s GC. Plan, manage and run operations for the meetings of the Full BIO Board of Directors and the BIO General Counsels Committee. In addition, organize and run many of the operations for the Legal Department, as well as support compliance operations for the organization at the direction of BIO’s Compliance Officer. Manage administrative operations for the Department staff and help maintain the infrastructure necessary for the Legal Department to function effectively.
- Manage and Administer to the BIO Legal Department
Manage and maintain well-organized physical and electronic files for the GC and the Legal Department, serve as the person who coordinates Compliance for the Legal Department in support of BIO’s Compliance Officer, including coordination of the logistics for BIO’s Annual Compliance Day
Plan, manage and run operations for meetings of the BIO Full Board of Directors and the General Counsels Committee (GCC). Coordinate with, and lead, other BIO staff to effectively support BIO Board and Standing Committees, and other governance or legal-related committees as needed
Handle sensitive and highly confidential information as requested by GC, in a professional manner
Maintain schedules for the GC, Deputy GC for Agriculture & Environment, and the Assistant GC & Compliance Officer (“3 Legal Staff”)
Support operations for meetings & teleconferences for 3 Legal Staff, and assist with logistics and follow up to such meetings
Process travel and expense reports for 3 Legal Staff, and other Department staff as needed
Responsible for tracking and supporting time entry and time tracking for all Legal Department staff
Schedule departmental meetings and conference calls, and handle all logistical aspects relating thereto, including reserving meeting space and room set-up/clean-up
Prepare routine correspondence for the GC
Conduct legal and policy-related Internet-based research as requested
Draft and process documents and correspondence as requested
- Manage and Support BIO's Compliance Operations
Independently support the filing of Quarterly Lobbying Activity Report (LD-2) and Semiannual Contributions Report (LD-203) at the direction of, and support of, BIO’s Compliance Officer
Plan, manage and undertake the needed support for the management, collection, submission, and re-set of BIO’s lobbying-related activity information from BIO lobbyists and the filing of BIO lobbying reports (LD-2’s) at the direction of BIO’s Compliance Officer
Provide technical assistance to lobbyists on the use of the LD-2 and LD-203 databases, in coordination with BIO’s Compliance Officer
Collect semi-annual certifications from BIO lobbyists to document individual compliance with LD-203 requirements
Keep abreast of revisions to the Honest Leadership and Open Government Act and related rules and guidance from the relevant House and Senate offices
Arrange training sessions for relevant BIO staff related to the LD-2 and LD-203 reporting processes
Help support work in conjunction with the Compliance Officer, IT Department designee, outside vendor and other appropriate BIO staff to identify requirements for upgrades and continual improvements to the existing LD-2 and LD-203 report processes and/or system(s).
Support other specific projects of the Department as necessary and requested
- Management and Administrative Skills
Candidate should possess excellent project management and administrative skills, should be highly organized and detail-oriented, and should have strong research and proof-reading skills
- Computer Skills
Candidate should be highly proficient with major computer applications, including Microsoft, Word, Excel, Outlook, and Access. Applicant will need to learn to use the Association Management Database system, BIO's IFLR system, and should have experience with relational databases
Candidate should have three or more years of experience assisting multiple senior managers or executives with planning, scheduling and running governance meetings, doing research, coordinating Departmental meetings, filing, and other management and administrative tasks. Bachelor’s degree (B.A.) from a four-year college or university, and preferably three or more years of experience. Some travel is required.
