The Member Services & Administrative Coordinator supports cross-departmental initiatives that advance greater member engagement and awareness of the Association.
The Member Services & Administrative Coordinator builds and maintains positive relationships with current members, helps gather information on changing member needs and trends, and supports efforts to increase retention rates.
This position is also responsible for supporting conference registrations and acts as the staff liaison for chapter events and for outreach conferences where VPPPA is an exhibitor.
The person is this role is the membership database power user (Ungerboeck) and maintains membership records and invoicing. They are also responsible to support the Membership Center section of the website, and for coordinating the Member-of-the-Month recognition program.
The person in this role is staff liaison to the Mentoring Committee of the Board of Directors.
Assume power user role in maintaining Ungerboeck.
Maintain and update membership records and database profiles.
Act on information about companies newly certified to VPP and reach out to them regarding membership. (one and done)
Prepare daily/weekly/monthly reports regarding membership and conference registrations for Safety+.
Use software tools (Canva) to design and compile member packets for mailing to new and renewing members.
Respond to membership inquiries and information requests via telephone and email.
Prepare and distribute membership billing and invoicing.
Process membership dues received via fax, mail, and phone.
Update and maintain the Membership Center on the Association’s website.
Work with regions to select Member of the Month and recognize them on Association’s website.
Provide support for all Safety+ conference, to include registration and on-site support.
Primary contact for outsourcing of registration services to regional conferences (using “turbo reg”).
Primary onsite support staff for outsourced services to regional conferences.
Process conference registrations received via fax, mail and phone.
Travels to represent the Association as an exhibitor at regional conferences and at other safety/health-related conferences.
Prepares outreach materials (with Communications) when the Association an exhibitor at regional conferences and at other safety/health-related conferences.
Prepare board packets for quarterly meetings.
The first point of contact for office phones.
Bachelor’s degree in communications, business, public relations, marketing, English, or related field. Experience related to the performance of the position responsibilities will be considered in place of the related education.
Minimum 2-3 years working experience in either membership management, customer service, business development, sales, marketing or related field. Experience in a not for profit or membership-oriented association are preferred.
Experience in MS Office Professional Suite is required.
Experience with Ungerboeck or other membership management databases is a definite plus.

The person in this role will travel frequently to regional VPPPA events to support their participant registration process. Travel will also be regularly made to other association events for participation as a vendor representing the Association.
Travel percentage may be up to 40% at certain times of the year.
While performing the duties of this job, the employee is regularly required to, stand, sit, speak, hear, and use hands and fingers to operate a computer, telephone, and other office equipment. There are at times prolonged periods sitting at a desk and working on a computer in an office environment. There are close vision requirements due to computer work. Light to moderate lifting is required of up to 10 pounds.
During conferences and events, longer work hours are expected, with many hours standing or walking. This setting may also require lifting up to 20 pounds.
Regular, predictable attendance is required.

The Voluntary Protection Programs Participants' Association, Inc. (VPPPA) is the leading organization dedicated to cooperative occupational safety, health and environmental management systems. VPPPA, a nonprofit 501(c)(3) charitable organization, is a member-based association, providing a network of more than 2,100 companies and worksites that are involved in or in the process of applying to the Occupational Safety and Health Administration's (OSHA) or the Department of Energy's (DOE) Voluntary Protection Programs (VPP).
