The Meeting Planner is responsible for developing, directing, and executing the duties that support the Association of Surgical Technologists (AST) events. This includes establishing goals, implementing the meetings planning budget, and collaboratively working with others in a teamwork environment for the two events: AST Surgical Technology National Conference with an attendance of 1,500 and AST Surgical Technology Educators Conference that has an attendance of 300. AST is seeking to hire a full-time employee or on a contract basis.
Develop and execute the strategic and operational plans for conferences.
Gather research on various hotel venues identified as possible sites for each event. Conduct hotel site visits and submit oral and written reports that assist in the site selection process.
Plan events within the parameters of the budget.
Ensure successful logistical planning for the conferences.
Establish a conference planning timeline for departmental staff.
Assist with pre-conference activities including leading internal planning team meetings and assisting with the development of the program agenda/schedule of events.
Manage staff hotel room arrangements.
Manage pre-conference VIP arrangements.
Present written and oral post-event analysis and lead the internal post-event staff meeting.
Work collaboratively with inter-departmental staff and external business’ staff.
Travel is required.
Education & Experience – A minimum of four years as a Meetings Planner for non-profit associations. Certification in meetings planning preferred, but not required.
Skills & Knowledge – Excellent level of organizational skills; detail-oriented; strong project management skills; able to adapt to changing priorities; computer literate on MS office and possess the ability to adapt to various event platforms; strong interpersonal, oral, and writing skills; ability to analyze data and information to assist with decision making processes; strong presentation skills.
