GENERAL SUMMARY: Coordinate a variety of detailed and complex projects to assist with the maintenance of a healthy and viable membership organization. Coordinate the development, organization and implementation of the society’s fundraising and exhibition activities. Serve as a liaison to committees to accomplish their stated initiatives and projects. Provide on-site support at meetings and courses.
DUTIES AND RESPONSIBILITIES:
Coordinate, implement and evaluate society’s sponsorship activities.
Serve as staff liaison to the Industry Relations Committee.
Responsible for providing high level of customer care and building long-lasting relationships with current and prospective sponsors.
Work with leadership and staff to assess and identify potential granting opportunities; expand non-dues revenue activities; solicit and coordinate sponsorships to meet or exceed annual budget.
Coordinate the non-CME workshops at IPOS.
Prepare and submit grant applications. Create and distribute annual corporate partner marketing materials.
Work closely with the marketing and membership manager to maximize sponsorship and advertising opportunities through messaging and collateral materials.
Maintain database with current sponsor contacts.
Process invoices and payments.
Coordinate, implement and evaluate society’s exhibit activities
Provide high-level customer service to all current and prospective exhibitors.
Create, execute and process registration for exhibitors. Assign booth space.
Maintain database with current exhibit contacts throughout the year.
Coordinate logistical details for exhibit hall, to include but not limited to design, layout and production, signage, and providing communication to general service contractor.
Coordinate exhibitor housing.
Oversee on-site exhibitor registration.
Create exhibitor service kits.
Responsible for packing and unpacking of exhibit materials for meetings; lift and move boxes.
Process invoices and payments.
Coordinate, implement and evaluate the society’s fundraising activities.
Serve as the staff liaison to the Development Committee.
Oversee the individual giving program (POSNA Direct). Cultivate and solicit donors.
Work closely with the marketing and membership manager to maximize fundraising opportunities through messaging and collateral materials.
Collect and process POSNA Direct donations.
Provide support and guidance to leadership and staff.
Work with Manager and Director to create budgets and to ensure for proper and transparent record keeping; meet financial goals.
Support leadership with agenda development, arrange and communicate the meetings; distribute agenda materials; write appropriate reports; draft, distribute, and archive meeting minutes/official business; and conduct follow-up on action items.
Work with leadership and staff to implement committees’ deliverables on time and within budget.
Work with the marketing/communications team to develop and coordinate communications schedule.
Review and evaluate activities on a regular basis; ensure committees are meeting objectives.
Ensure materials on Society website are up to date.
Evaluate and maintain procedures, descriptions, announcements, statistical reports and history.
Develop and maintain effective communications and relations with leadership.
Develops and maintains protocols and procedures related to position’s responsibilities
Perform all other job-related duties as required or assigned.
TRAVEL: Approximately 10-15 days per year
Undergraduate degree or equivalent work experience.
Demonstrated knowledge of fundraising principles, practices, techniques, and current trends.
Knowledge of and demonstrated track record of providing successful sponsorship and exhibitor best practices in addition to business development experience.
Effective verbal and written communications.
Strong organizational, interpersonal and proofreading skills.
Ability to think proactively and creatively.
Attention to detail necessary for success.
Must be able to multi-task, prioritize and organize work in a fast-paced environment.
Able to function well in, and contribute to a small team environment, but also work independently. Cooperative, supportive, and “can do” attitude is crucial to success.
Ability to toggle between strategic thinking and digging into details.
This person must have integrity and credibility with leaders, members, vendors, and staff.
A positive proactive personality and an approachable team player.
Proficient in Microsoft Office with strong spreadsheet skills.
Familiarity with iMIS, JotForm and ExpoGenie. ACCME knowledge.
