The American Society of Echocardiography (ASE) is an organization of professionals committed to excellence in cardiovascular ultrasound and its application to patient care through education, advocacy, research, innovation, and service to our members and the public. ASE, the largest subspecialty society for cardiovascular imaging, is seeking a Project Specialist- Health Care Education for our location in Durham, NC. This position will report to the Vice President of Educational Activities and will be responsible for the following:
Position Summary: This position is responsible for adhering to the compliance policies for the Society’s Accreditation Council for Continuing Medical Education (ACCME) accredited provider status and associated Maintenance of Certification (MOC) programs. , This position is also responsible for credit transfers for all specialty boards and is the primary contact for internal information related to CME, MOC and CEU. This position is responsible for oversight of assigned educational product development including project management and delivery deadlines.
Essential Duties and Responsibilities: 90% of the time
Manage the CME/MOC/CEU Process:
Manage the Society’s Accreditation Council for Continuing Medical Education (ACCME) and Maintenance of Certification (MOC) compliance policies. Establish and maintain educational records, statistics, and documentation needed to meet ACCME and MOC program requirements and maintain ASE's accredited provider status.
Responsible for the creation and maintenance of all CME activities in the ACCME’s Program and Activity Reporting System (PARS).
Responsible for customer service and support for CME-related questions and inquiries. Interact with customers on a daily basis to fulfill requests for access to educational activities and document earned credit.
Process monthly data transfers of CME credits and MOC points to external partners.
Work as the staff liaison to the CME Committee to handle educational activity approvals and adherence to ACCME/MOC/etc. compliance standards.
Facilitate review of reported financial disclosures of ASE faculty and work with the CME Committee to resolve all conflicts of interest prior to the activity.
Work with business development staff to provide educational details necessary for corporate grant applications, and assist with post-event reporting requirements.
Assist the Vice President of Educational Activities to implement educational policies and procedures to maintain ACCME accreditation standards, including content development and review, regulating relationships with industry, and the use of grant funding for educational activities.
Live and Virtual Courses
Handle faculty communications for live courses, excluding the Scientific Sessions, including invitations, confirmation of speaking assignments, disclosures and COI, and delivery of presentations.
Assist Information Systems Manager to test and input faculty assignments into the database (not supported by current system).
Notify Meetings Department with confirmed faculty rosters.
Collect all faculty presentations prior to the activity and review for HIPAA violations, in advance of making the slides available to attendees.
Support the Vice President of Educational Activities in the development, recording and execution of certified medical education (CME) activities, including any online education and live courses.
Oversee management and implementation of the live course app, including processing data uploads, maintenance and support for app platform.
Attend live courses as assigned to assist with faculty presentations and to facilitate app’s audience polling features.
Develop, implement, and analyze post-program evaluations for live course attendees and product sale
Assist Vice President of Educational Activities with annual analysis of courses to provide recommendations to the Education Committee for
Educational Sponsorship/Endorsement and Hospital/Local Society CEU programs management and reporting to include processing applications and approval review, track program payments, invoices, and notices, maintain attendance records and general communications, coordinate with membership department to utilize the attendee prospect lists, and fulfill promotional benefits for approved activities.
Manage ASE’s Live Webinar request and approval process in accordance with the Education Committee’s Guidelines.
Distribute weekly staff report regarding all approved live webinars, registration counts, and CME information.
Liaise with the staff contacts, moderators, and speakers to send invitations, assign appropriate deadlines, and coordinate all necessary materials including disclosures, release forms, presentations, biographies etc.
Facilitate the review and approval process with CME Committee for all webinars offering CME.
Create the webinar activity and registration, coordinate the rehearsal and live event invitations with panelist designations.
Post-event: Organize and request honorarium, edit recordings, and post the on-demand product (if applicable) on the ASE Learning Hub within 2 weeks of the live date.
Assist business development staff to fulfill post-event reporting requirements for activities receiving corporate support.
Management of abstract submission, selection, and assignment for the Scientific Sessions, Echo Hawaii, and other meetings as
Staff contact for all abstract submitters and
Manage abstract platform for submission and peer
Liaise with abstract chairs to develop implementation timeline, facilitate identification of submission categories, and coordinate peer reviewers, selection and final assignment of abstract
Coordinate communications to solicit submissions, including but not limited to placements in social media, eblasts, advertisements, website pages,
Identify, invite, and assign peer reviewers. Manage peer review process and grading results
Coordinate abstract program, including slotting presenter assignments, notification development and implementation, ensuring presenter registrations,
Coordinate implementation of the Weyman and Haluska Research Award Competitions, as well as any other abstract-related sessions or competitions held during the annual
Responsible for overseeing the Poster Area on the Scientific Sessions Exhibit
Other Functions: 10% of the time
Assist with handling and processing incoming calls, emails and faxes related to education as
Contribute to other projects and tasks as needed in support of ASE's
Support the organizational structure of ASE by attending staff meetings, working on task forces, seeking and attending professional development opportunities, working in a team atmosphere and cooperating with other staff members, completing minutes, meeting summaries, and paperwork in a timely
Travel to ASE meetings and other exhibit venues will be required for this position.

Experience: A minimum of 2-5 years of experience in project management, continuing education credit management and customer support. Experience with non-profit membership association(s) and continuing medical education (CME) desired.
Experience with databases and proven knowledge validating data accuracy.
Competence in Windows Office software, database programs, and online applications.
Knowledge of continuing education processes (even if not healthcare related).
Proven ability to coordinate projects that involve multiple stakeholders, internal and external.
Commitment to superior level of customer service.
Excellent writing and grammatical skills.
Outstanding organization and communications skills, with strong attention to detail.
Proven ability to manage projects within expected deadlines and budgets.
Must be able to sit for long periods of time
Must be able to perform repetitive hand and wrist movement
Must be able to stand and walk for long periods of time during events
Must be able to lift up to 25 pounds at times
Must be able to work a variety of hours in order to accommodate events
Ability to travel (airplane) to domestic U.S. event locations as assigned.
