Responsible for clerical duties in the membership department including filing, emailing, ordering supplies, etc. Accurate and timely processing of membership applications to include data entry, ballot process, membership notification and responding to applicants. Respond to phone calls from members and potential members. Primary phone coverage. Assists CEO with projects as needed and other duties as assigned.
Assist with managing the development and production of products and services created for members.
Assist with managing the Association’s affinity programs.
Assist in the content development of association product/service catalogs and other promotional efforts.
Assist the CEO in developing new member programs and services.
Manage the membership application approval process.
Reviews applications for determination of correct membership category
Copy membership applications for membership committee ballot.
Responsible for mailing approval letters and membership packets to new members
Manage the prospect database in enough detail to support association activities.
Publish bi-annual reports on membership status.
Participate in developing and implementing campaigns for membership recruitment and retention.
Prepare the annual membership renewal and dues collection.
Assist with registration at events.
Answer the main phone line and address or direct calls and voicemails, respond to or relay e-mails in shared mailboxes.
Handle other duties as assigned.
Manage all tags, labels and service collar orders.
Field calls daily regarding tags, labels, collars…etc.
Proof all new/changed tag and label orders as they come in.
Fulfill and ship all catalog orders.
Process ChemTel subscriptions applications as needed.
2+ years of administrative and database management experience in a customer-service, and business-focused organization. We are also open to a recent college graduate with demonstrated strong database management skills.
Knowledge of and experience with association management software including query building or ability to quickly learn new software skills.
Proficiency with the Microsoft Office 365
Excellent data entry skills and ability to effectively work with other staff members on procedures for entering and correcting sensitive payment-related data, including handling refunds and credits.
Strong project management skills including demonstrated ability to organize, shift gears quickly, and ensure completion of long-term deadlines.
Sound judgment with proven ability to resolve complex issues quickly and calmly through critical-thinking, analytical problem-solving, collaboration, and conflict management.
Proven ability to function independently and knowing when to take an issue to other staff members for consideration.
Proven ability to work professionally to assist volunteer leaders, general members, and potential members with inquiries and issues.
Ability to maintain a high level of confidentiality, using discretion and judgment in dealing with sensitive and controversial issues.
Ability to establish and maintain effective working relationships with management, co-workers, representatives of external organizations, and the public.
