Assist Vice President of Conventions & Expositions in all administrative functions for the division. Support the Meetings & Conventions Department with various meeting planning functions to execute meetings and conventions.
Engage, interact, and communicate across all Meetings and Conventions department and respective leadership.
Assist with NADA Show logistics where needed to include master schedule, group resume, site visit coordination and other administrative tasks.
Support meeting planners with ATD Show logistics for make meetings and workshops.
Manage the Vice President’s calendar of appointments and expense reports, internal and external meetings, travel itineraries, Board, association and industry contacts and meetings.
Review and reconcile various vendor invoices for accuracy and payment.
Collect, process and track all department vendor contracts. Prepare the Convention and Expo Committee reports to the Executive Committee and Board of Directors.
Produce the Show Committee agenda booklet and PowerPoint for the meeting, collecting all information needed for the reports and coordinating with public affairs on the project.
Assist department directors with meeting planning support.
Support the registration of the Auto Forum, and Washington Conference.
Complete, submit and coordinate credit applications for citywide hotels.
Manage supply inventory for the Convention, Auto Forum and Washington Conference.
Manage on-site convention office, including managing temporary staff, NADA staff, food and beverage, office set-up, supplies and meeting planner support.
Enter all make meetings, franchise meetings, affiliate event and all workshop updates in various web portals and systems.
Oversee office needs including supplies, filing, copying, and mailing.
Keep documentation on support projects and processes up to date.
Assist in all areas onsite at convention as needed.
Complete both ongoing and new projects/tasks as required.
Other job-related duties as assigned.
Education and Work Experience
College degree preferred. Minimum two years meeting planning and administration experience required. Excellent written and oral communication and organizational skills required. Proficiency in Microsoft Office Suite programs. Experience with attendance software preferred. Experience with Impexium or other CMS systems a plus. Detail-oriented with ability to set priorities and handle multiple short-term and long-term projects while following through on assignments. Desire to work in a team environment and ability to handle confidential information is a must.
