Incumbent provides administrative, operations and sales support to MBA Sponsorships & Exhibits for MBA’s entire conference schedule. This will require the incumbent to maintain all online and print content for sponsors and exhibitors as well as providing customer support across multiple and simultaneous conferences.

Primary Duties and Responsibilities:
The incumbent is the primary staff person to collect, maintain data and manage online and print content for sponsors and exhibitors. Monitors and maintains exhibitor and sponsor listings and logos on event web sites. Responsible for managing and streamlining these processes.
Manages sponsorships in Aptify and be the liaison for the sales department for all Aptify issues. This will include setting up sponsor products, working with registration team on all Aptify related issues, reports and applications/invoices process. This also includes reconciling the financials.
Develop an understanding of all event exhibit and sponsorship programs including pricing, availability, assets and deadlines. Create and update sponsorship sales prospectus and other sponsor related documents. Supports AVP in exhibits/sponsors sales initiatives when necessary.
Responsible for the timely collection and filing of exhibitor and sponsor artwork deliverables to include program guide ads, notebook ads, web ads as well as artwork required for other sponsor deliverables. This will include collecting all art from sponsors and exhibitors, keeping them organized and then transferring/uploading these files internally and externally by designated deadlines.
The incumbent will also support AVP in data mining to increase customer pool of sponsors and exhibitors for the sales team and assist with sales of sponsorships and exhibits, as needed.
Ensures sponsorship and expo visibility on applications/pages on relevant MBA.org web pages. Maintains and updates content management for Sponsor and exhibitor pages on website.
Assist AVP with project management, implementation of initiatives, and with member inquiries.
Develop relationships with sponsor and exhibitor key contacts. Assist AVP with ongoing communications to sponsors including confirmations, invoices, receipts, registration and housing information, meeting room requests and deadlines and proofs requiring their approval.
Work with Procurement and Marketing departments to meet all deadlines in critical path for each conference. Provide both departments with sponsor artwork and approvals.
Assist Registration department in collecting sponsor and exhibitor complimentary registrations. Assist sponsors and exhibitors with registration and housing process.
Provide coverage for AVP and Director of Exhibits when they are unavailable and respond to their customer inquiries.

Bachelor’s degree and a minimum of three (3) years of sponsorship and/or exhibit management experience are required. Meticulous attention to detail, excellent multiple-task management skills required. Familiarity with association management and content management software preferred. Ability to handle multiple tasks is required. Experience with Word, Excel, Outlook and association management and content management software preferred. The incumbent has excellent spelling, grammar, and overall communication skills, both verbal and written, as well as interpersonal skills mandatory. Minimal travel may be required. The incumbent should be able to accomplish assigned projects with minimum supervision, handle confidential matters, independently set and adjust priorities to meet project deadlines.
