Duties and Responsibilities
Office and Association Operations
Make decisions for operational activities and planning to meet strategic goals set by the President.
Oversee, plan and monitor the day-to-day running of the association to ensure it is operating smoothly.
Serve as immediate supervisor to Director of Operations, Administrative Specialist, and temporary administrative workers (when employed).
Analyze quality, productivity and efficiency of organizational processes and recommend improvements.
Consult with management on workflow issues, training and development of staff.
Work with accounting department to monitor accounts payables and receivables for accuracy.
Assist President in development of the annual organizational budget.
Supervise staff responsible for coding and tracking company credit card monthly statements and other company expenditures with supporting documentation, ensure independent verification of payments.
Manage preparations for bi-annual audit and facilitate execution of audit, working closely with accounting team and audit firm.
Develop job descriptions and facilitate hiring process for open positions as needed.
Interface with external Human Resources consultant, ensuring human resource materials are kept up to date and staff receives required information in a timely manner.
Operations of Meetings and Events
Oversee content development and logistics for event and meeting planning year-round to deliver highly successful events.
Manage the day-to-day operations and associated with the planning and execution ILTA’s annual conference and tradeshow, Board events, committee meetings, workshops, and monthly webinars.
Ensure successful completion of pre-event procedures: budgets, site inspections, set-up, reservations, registration, room layout, a/v equipment, BEOs, handouts and marketing materials.
Oversee process to review, edit and proofread all printed conference materials, using internal resources and hiring consultants as needed.
Serve as primary liaison with conference keynote speakers, confirming their contract requirements are met, planning their on-site schedule logistics, and providing personal attention to their on-site needs.
Oversee onsite venue staff (i.e., conference and trade show temp workers).
Bachelor’s degree in business management, administration or financing.
Eight or more years of work experience and office management.
Self-directed and detail oriented with the ability to multi-task and balance competing priorities.
Able to work in a highly collaborative small office environment.
Excellent written and verbal communication skills.
Strong proofreading, editing and project management skills.
Excellent computer skills including using Microsoft Office (Word and Excel proficiency required, PowerPoint preferred); facility with independent internet research for problem solving.
Previous association experience strongly preferred.
Previous exposure to Association Management System(s) preferred.
