The events and education coordinator position plays an integral role in the NASW-Illinois Chapter’s mission to provide quality and affordable continuing education and networking opportunities to our members. The events and education coordinator will work to continue the chapter’s existing online virtual training program with an eye toward the resumption of in-person events when safe to do so (est. spring 2022). Position will manage events for the chapter from the ground up, including (but not limited to) securing presenters and venues, scheduling, registration, registrant management, day-of event moderation and recording. This position will eventually also manage and design our annual conference and lobby day.
NOTE: While the chapter has currently put in-person events on hold until safe reopening in Illinois, there is an aim to resume in-person events as early as spring 2022.
Organize, manage, and moderate continued live virtual education events for the chapter
NOTE: Position will eventually transition focus to in-person events when safe to do so, requiring some travel in local Chicagoland area and the ability to work offsite for events
Coordinate events and meetings for affiliated chapter districts, shared interest groups (SIGs), and sister chapters (Nevada and North Dakota)
Maintain chapter documentation in accordance with IDFPR regulations for educational providers
Special projects as assigned by managers including annual conference, grants, and membership recruitment.
Answering general office and member queries relating to events and licensure
BASIC DUTIES AND RESPONSIBILITES
Event Planning: Work with speakers and chapter staff and leadership to schedule chapter events in accordance with chapter’s existing event requirements and calendar. When in-person events resume, will research and coordinate hosting venues around Chicago to establish space and amenity requests as per chapter standards. Create and manage event registration forms and handle follow-up queries.
Speaker Management: Solicit and guide presenters through approval process to provide courses suitable for social workers while fulfilling state licensing requirements. Schedule test runs with presenters before event date to run through tech and familiarize them with event hosting platform. Secure event handouts, Power Point presentations, etc., as needed.
Event Registration: Create online registration forms; verify registrations for active membership, payment; process rescheduling/refund requests.
Event Preparation (In-Person): Coordinating event reminders to speakers and registrants. When in-person events resume, handling room set-up, event sign-in sheets, continuing education unit (CEU) certificates, as well as on-site logistics on day of the event (some travel required)
Event Hosting: Moderate events, handling day-of inquiries, creating a seamless an experience as possible for participants and securing accommodations as needed; send. Post-event surveys.
Online Recordings: Work with rep to record and upload trainings for purchase in national education database
Event Promotion: Posting event to chapter website and social media outlets
Processing of continuing education unit (CEU) certificates and reprint requests
Assist as needed for larger chapter events/conference/symposia/lobby day
Maintenance of Supervisor Registry
Advertising: Posting, promoting, and management of chapter job board and classified ads
Organizing and presenting on membership at social work school and agency visits (some travel required) & licensure
Representing chapter at job fair, orientation, exhibit halls, or other like events
Assist staff as needed
Must be extremely detail-oriented, organized, and responsible
Familiarity with event hosting platforms such as Zoom
Excellent communicator (both verbal and written), including the ability to interface effectively at the executive level and across the organization
Effective interpersonal and organizational skills, including a strong customer service orientation
Comfortable with public speaking
Strong project management skills. Must be able to plan, organize, and lead projects and tasks effectively while paying close attention to details, identifying deliverables and meeting timelines
