Purpose of Position: The Coordinator of Program Services is responsible for the delivery and organization of events, trainings, programs, and meetings held by ACA Illinois. This person will provide access to quality professional development and training to support camps. Additionally, this position supports the DFI Title XX Camping Services program during peak times. This person is vital to the success of these programs and is an active participant in helping ACA Illinois strive towards its mission to provide equitable access for all children and families to experience summer camp.
Primary Functions:
- 40%: Coordinates all professional development events including but not limited to:
- Ensuring that all learning and meeting spaces are inclusive and welcoming to attendees and learners.
- Coordinating Speakers logistics and procedures.
- Arranging for volunteers to support events.
- Collecting post event evaluations and presenting them to leadership.
- Maintaining records, supplies, and equipment for events.
- Working with the Executive Director to secure and coordinate space and food needs.
- Working in collaboration with Communications Consultant to promote events.
- Facilitating workshops and training as required.
- Supporting the work of committee-driven events.
- Managing registration for events.
- Serving as primary host of both in-person and virtual events.
- 22%: Coordinate the Accreditation program including but not limited to:
- Leading, with the Graduate Assistant - Accreditation Program Services, the Accreditation program including:
- Coordinating onsite Accreditation visits and Annual Accreditation Reports.
- Coordinating training associated with the Accreditation program.
- Maintaining records and managing the CRM database for Accreditation & Membership purposes.
- Managing volunteers.
- Working in collaboration with ACA, Inc staff to facilitate national program at the local level.
- Serving as the staff liaison with Graduate Assistant for the Standards Committee.
- Coordinating membership renewals and payments for Accredited camps and members.
- Preparing reports as requested by the Executive Director related to education, training, Accreditation, membership, and other program services.
- 33%: Supporting the DFI Title XX Camping Services Program including:
- Processing client bills and paperwork.
- Providing referrals for IDHS clients.
- Facilitating onsite visits and agency audits for partner agencies.
- Organizing DFI Title XX training and courses in collaboration with the Manager of Family Services.
- Providing support to the Manager of Family Services to implement the DFI Title XX Camping Services Program.
Secondary Responsibilities:
- 5%: Providing support in fundraising initiatives.

- At least five (5) years or more of experience coordinating events, training, or other adult programs.
- Documented track record for providing excellent customer service.
- Excellent verbal and written communication skills.
- Experience leading and facilitating training and meetings for adults.
- Experience facilitating on Zoom webinars and meetings.
- Ability to use a computer (PC) and navigate cloud based programs including Google Apps for Nonprofits/Business, VoIP phone systems, and Microsoft office suite.
- Comfortable with video conferencing, phone communications (including cold calls,) and in-person meetings.
This role is a hybrid role that requires some in-person work in and around Chicago. The primary work schedule is 9am to 5pm Tuesday/Wednesday/Thursday)
