The National Hospice and Palliative Care Organization (NHPCO) is seeking a Membership Coordinator to serve as an essential member of the Membership Team. Reporting to the Senior Director, Membership, the Coordinator will serve as the point of contact for questions related to membership, support data enhancement projects, and serve as staff liaison to NHPCO’s professional discipline communities. The ideal candidate will be proactive, personable, resourceful, and efficient while maintaining a high level of professionalism and confidentiality.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Membership

• Coordinates new and renewing member acknowledgement process, including preparing and sending welcome materials, scheduling welcome calls, and collaborating with the Membership and Communications teams to update onboarding materials and messages.
• Performs outreach to a portfolio of members to ensure awareness of member resources, remind members about renewals, and resolve problems.
• Supports Senior Director of Membership’s outreach to current, prospective, and lapsed members.
• Identifies and researches prospective members.
• Performs administrative duties for the membership team, such as scheduling meetings, assembling meeting materials, and preparing mailings.

Data

• Helps maintain membership database, including entering and updating membership records.
• Supports data enhancement projects such as matching NHPCO data to external sources.
• Performs data clean-up projects.
• Contacts members to resolve questions about organization and individual data; serves as point of contact for updating large organization rosters.

MyNHPCO Professional Communities

• Serves as a staff liaison to MyNHPCO (NHPCO’s professional discipline communities).
  • Serves as the primary contact for community leaders.
  • Ensures NHPCO staff team is aware of community activities and expertise.
  • Schedules steering committee calls.
  • Monitors online community discussion groups and library postings and follows up with community leaders to ensure discussion posts receive a response.
• Hosts MyNHPCO community webinars (Chats)
  • Manages the production of community webinars on Zoom.
  • Serves as the host of the live session, welcoming attendees, providing instructions for participants, introducing hosts, monitoring Q&A, and ensuring a positive experience for presenters and attendees.
  • Ensures staff have the information they need to promote the webinar and answer member questions.
  • Coordinates webinar evaluations.
• Acts as liaison to MyNHPCO Projects Committee
  • Support community leaders and steering committees as they develop presentations for NHPCO conferences.
  • Supports committee monitoring of various community projects.
• Serves as liaison to MyNHPCO Nominating Committee
  • Coordinates Steering Committee application and appointment process.
  • Coordinates call for nominations and elections of the MyNHPCO Chair, Vice-chair and MyNHPCO community leaders.
  • Maintains rosters for the Awards, Executive, Nominating, Projects, and Steering Committees in the association management system. Distributes updated rosters as changes are made.
  • Prepares reports for the Executive Committee.

This position is classified as a full-time, non-exempt position with an hourly rate of $23.63 - $35.44 (commensurate with related experience) plus an opportunity to earn annual merit increases and potential, but not guaranteed, performance bonuses.

Qualifications

• Bachelor’s degree preferred, along with 1-3 years of experience with a membership organization.
• Strong working knowledge of the Microsoft Office suite and experience in membership database maintenance.
• Ability to work extended hours during peak times.
• Communication/Writing Skills: Exhibits strong written and verbal communication skills. Demonstrates creativity and resourcefulness in the development of reference materials and presentations.
• Technology Skills: Ability to quickly adapt to new or unfamiliar technologies. Use technology to improve efficiency and productivity of the work.
• Teamwork/Collaboration: Ability to establish and maintain working relationships with members, employees, and the public. Ability to respectfully listen to ideas, opinions and concerns of others while working cooperatively on interdependent goals. Comfortable working in a collaborative environment.
