Established in 1984, American Shoulder and Elbow Surgeons (ASES) is a professional medical association. As an independent entity, their purpose is to engage in, advance, support, promote and administer scientific and educational activities, causes and projects.
The Coordinator, Education Programs is a key member of the Meetings and Education Department. The ideal candidate thrives in a fast-paced work environment and is willing to learn and adapt as the Society’s education activities evolve. In tandem with the Meetings and Education Manager, the position will play a key role in the successful execution of all educational programs of the Society. The position reports to Meetings and Education Manager.
RESPONSIBILITIES:
- Coordinate and implement educational offerings within defined budgets and timelines.
- Serve as primary liaison to faculty. With direction from course Co-Chairs and the Meetings and Education Manager, solicit and confirm speakers, and prepare related communications material. Communicate with speakers regarding conference logistics and expectations. Develop, collect, and record required paperwork, presentations, and handouts.
- Develop the “Call for Abstracts,” manage the evaluation of submissions and implementation of related communications.
- Collect, prepare, and distribute materials for CME credit approval.
- Serve as project lead for the ASES Resident Course, including planning, faculty engagement, lab coordination and logistical support.
- Manage the Society’s Learning Management System (LMS), including reviewing and editing the videos, and uploading content from new meetings and educational activities created by the Society.
- Evaluate educational programming, products, and/or learning formats to enhance members’ and attendees’ experiences; implement changes as directed.
- Support the Society’s mission and vision by serving as a liaison to assigned committees and project teams.
- Work with leaderships of assigned committees and project teams to implement the groups’ deliverables on time and within budget.
- Manage the Society’s Leadership Development Program, create schedules, communicate with participants, produce reports and create program evaluations
- Create and administer surveys for educational programs, collect responses and summarize results
- Assist leadership with agenda development, arrange and communicate meetings and conference calls; distribute agenda materials; write appropriate reports; draft, distribute, and archive meeting minutes/official business; conduct follow-up on action items; provide guidance as necessary.
- Support the Meetings and Education Manager in the design and delivery of attendee experiences at all Society courses and meetings.
- Create and execute the registration system; process registrations; coordinate and supervise on-site registration and maintenance activities.
- Prepare and distribute RFPs for Annual Meeting support vendors
- Work with Meetings and Education Manager on solicitation and confirmation of industry support for courses and events.
- Maintain and update course websites and annual meeting app
QUALIFICATIONS:
- Undergraduate degree or equivalent work experience.
- At least 3 years of education program implementation experience; professional association experience preferred but not required.
- Proficient in Microsoft Office.
- Excellent member service mentality and delivery.
- Effective verbal and written communications; strong organization and interpersonal skills.
- Ability to think proactively and creatively.
- Must excel in a fast-paced, team-oriented environment.
- Cooperative, supportive, and “can do” attitude is crucial to success.
- Integrity and credibility with leaders, members, vendors, and staff.
- Experience with Member Clicks or similar database, bulk e-mail software, website maintenance software and social medial platforms desired.
Complies with all safety policies and practices of the organization and all safety standards associated with this position, including the use of personal protective equipment.
TRAVEL: 12-15 days per year
