The Associated General Contractors of America (AGC) is looking for a highly motivated self-starter to join our Hybrid team as a Manager in our Convention & Meeting Services Department.
We are looking for a creative, self-starter who loves to multi-task while staying focused on multiple meetings at a time. This role requires a high level of customer service, attention to detail, and project management skills.
As a vital member of the AGC Conference Team directly reporting to the Senior Director of Conferences & Operations, this position will have a hands-on role in the development, coordination and execution of AGC meetings and conferences.
Key Responsibilities:
- Collaborate with colleagues across the organization in the coordination and management of all facets of assigned conferences and meetings including:
- Requests for Proposals
- Hotel/venue contract negotiations
- Registration set-up
- Marketing preparation
- Budget development and management
- Catering and Meeting Set-Ups
- Rooming Lists
- A/V Requirements
- Transportation needs
- VIP accommodations
- Serves as primary point of contact for the successful execution of meeting logistics onsite with hotel/venue, A/V and production vendors, DMCs, and other outside vendors.
- Serves as an AGC liaison with hotels, convention centers, hotel chains and Convention Visitors Bureaus to ensure the best possible working relationships with these organizations.
- Assists in the preparation and execution for the AGC Annual Convention as requested and assists in the on-site execution of the Convention.
Qualifications, Education and/or Experience:
- Demonstrated knowledge and experience in meeting and event industry terminology and comprehensive knowledge of meeting and event planning and registration processes.
- Understanding of hotel/venue contract terms and conditions.
- Project Management experience to include meeting deadlines on time and on budget.
- Excellent oral and written communication skills.
- Highly organized and able to quickly prioritize multiple projects and tasks simultaneously with a sense of urgency.
- Ability to manage stakeholder expectations and coach them on industry best practices.
- Collaborative, upbeat work ethic where you can take ownership of projects and have fun.
- An energetic self-starter who is always looking to expand their knowledge and capabilities in meeting management.
- Intermediate or advanced experience working with MS Office (Outlook, Word, Excel, PowerPoint), with Office 365 experience being preferred.
- A minimum of 2-3 years of Meeting/Event Planning experience preferred
- Bachelor’s Degree in Meeting and Event Management or Tourism and Hospitality preferred
- Ability to travel up to 25% (travel may include weekends)
