Job Description:
The Senior Manager, Facilities Services is responsible for accurate and timely execution of daily facilities tasks and facility service requests for all ABA departments, including assisting other facilities personnel with maintenance, mail, reproduction, and shipping duties and In-house meetings. The Senior Manager, Facilities Services will also assist the Director, Facilities Management, with maintaining, updating, and testing of facilities-related policies and procedures, including Emergency Management protocols. In addition, they will also assist the Director, Facilities Management with budget creation, expense tracking, supplier payments, and facilities financial reporting. As needed, this role may be required to perform receptionist duties.
Key Responsibilities:
• Assists the Director, Facilities Management, in the daily operation of the department ensuring that all regular facilities tasks and on-demand requests are completed in a timely and customer-friendly manner.
•Assists the Director, Facilities Management, with the department’s financial operations, including:
- Processing accurate chargebacks for facilities services, including for mail and reproduction services, on a weekly and monthly basis.
- Tracking expenses (coffee machines, copiers, office supplies, mail and shipping services) Monthly update mail and copy volume reports and Support Services supplies (copy paper, toner, envelopes.
- Ensuring suppliers are paid on time.
- Developing the department’s budget on a yearly basis and tracking financial performance during the fiscal year.
•Assists the Director, Facilities Management, in the development, updates, and testing of facilities policies and procedures, in particular of the Emergency Management Plan:
- Keeps abreast with relevant best practices.
- Helps update policy documents.
- Assists with fire and other emergency drill planning, execution, and documentation.
• Assists the Director, Facilities Management, with the coordination of facilities maintenance and repairs.
• Assists Facilities colleagues with the management of mail and freight when needed, based on daily volume and/or colleague’s schedules:
• Conducts maintenance inspections and performs minor repairs for coffee and copier devices.
• Assists with regular and special office supply and printing stationery orders.
• Provides, as needed, support for In-House Meetings to include conference table and chair set-ups.
• Assists with internal office moves when needed.
• Able to locate and dispense CPR and/or First Aid and related supplies in a timely manner.
• May have to cover front desk duties in case of receptionist and other facilities staff absences.
Requirements:
• High school degree/equivalent required.
• 6-8 years’ experience in facility operations, including maintenance, emergency planning, mail/reproduction, as well as shipping/freight, in an office environment. Facilities management certification preferred.
• Quick learner. Self-directed with strong organization skills.
• Excellent communication skills, verbal and written.
• Excellent computer skills, including Microsoft Word, Excel, and Outlook.
• Experience with budgeting tools and reporting.
• Experience with facilities-related policies, including emergency protocols.
• Strong customer service and team skills.
• Must be able to lift a minimum of 50 pounds.
