DIRECT SUPERVISOR: Senior Specialist, ARP Programs
LOCATION: Remote in the United States / Hybrid option if you live in the state of Georgia
POSITION SUMMARY DESCRIPTION:
This position is responsible for the overall coordination of all administrative requirements for the Executive Committee and standing committees of the ARP in coordination with the Executive Director, ARP with a primary focus on the Committee on Nominations & Appointments. The position serves as key support staff for ARP programs, products, and activities.
DUTIES AND RESPONSIBILITIES:
Governance
Act as staff liaison to theARP Nominations Committees, responsible for
Administration of their current work and programs, including minutes, meeting/conference call coordination, volunteer selection process,
Oversight of the volunteer experience from concept to implementation
Oversight of tracking all volunteers in support of better data
Award/plaque order
Help to evolve nominations selection practices to include DEI best practices, and encourage a strong, diverse applicant pool
Lead efforts to evolve the volunteer experience evaluation process
Provide administrative support for ARP Executive Committee as well as task forces and ad hoc work groups in coordination with the Executive Director, ARP
Coordinate all annual meeting networking events (e.g., networking lunch & annual business meeting, networking lounge sessions)
Maintain ARP Executive Committee, Committees, and other identified exhibits.
Coordinating Member Service presence at Convergence and other internal and external exhibits, as needed
Serve as primary ARP staff contact to Marketing & Communications department for all appropriate committee work
Manage the materials submission process for committee meetings and ensure all related deadlines are met; ensure consistency between agenda and materials
Coordinate, with the meeting services department, in-person meeting logistics for committees, work groups, and task forces. Tasks include coordinating hotel accommodations, off-site dinners, busing, audiovisual, shipping, invoice reconciliation, room set-up, catering, signage, special requests, event security, managing attendance lists, and working with ACR travel agency to arrange group and individual travel arrangements
In collaboration with the meeting services department, plan and execute special events held during the annual meeting. Tasks include creating and sending out invitations, managing attendance lists
Coordinate efforts to improve volunteer identification and experience with the ACR Governance team
Help to implement the project plans for committee/work group/task force work, ensuring excellent and consistent communication between all appropriate parties
Serve as primary ARP contact for EULAR travel and meeting planning; assist the Executive Director, ARP with coordination of ARP and EULAR HPR work as requested
Responsible for documenting and ensuring all ARP policies and procedure documents are updated and filed according to the College standard
Some travel as necessary to fulfill job responsibilities
Any other duties the Senior Specialist, ARP Programs and/ or Executive Director, ARP may assign
QUALIFICATIONS:
BS/BA in related discipline with three (3) years’ experience in a professional membership association environment, or more than five (5) years’ experience with no degree
Ability to manage multiple priorities as directed and meet deadlines
Detail-oriented and highly organized
Self-starter with demonstrated ability to set and manage multiple priorities and work independently while functioning as part of a collaborative team
Excellent interpersonal skills with the ability to interact and communicate tactfully and professionally with a wide variety of individuals, including staff, members, vendors, et al
Extensive professional experience with Microsoft Office Suite, including Access, Online Databases, Excel, PowerPoint, Outlook, and Word is required.
Web browsing proficiency is also required.
Excellent oral & written communication skills
Experience with virtual meeting software applications such as Zoom, Microsoft Teams or similar is a plus.
Familiarity with project management software such Asana, Inc is a plus.
